Finish evaluation reports faster — and get your evenings back.
InsightNotes turns your documentation into a polished, professional report. AI drafts each section from what you recorded, you review every word, and the finished report exports in your format. Client records are kept on your practice’s own computers, and travel between them only encrypted with your practice’s key.

From the first interview to a signed report
The same four steps for every evaluation, with you in charge of each one.
Document the evaluation
Intake built for each evaluation type walks you through presenting concerns, history, records, collateral reports, behavioral observations and the mental status exam. Pick common statements, type, or dictate — every answer remembers where it came from. Prefer notes as the interview goes? Interview Notes files each one into the section it belongs to. With Exam by Exception, mark mental status areas typical and record only what differed.

Let AI write the first draft
Each narrative section is drafted from your documentation in clear, professional language, as you finish each part of the intake. Give it a few paragraphs you wrote, and drafts follow your own phrasing. Every draft is checked against what you documented, and anything to look at, such as a number that differs or a diagnosis you did not record, is highlighted on screen for you. It never decides risk, credibility or placement.

Review and refine
Read the report as it will print and change any word, right on the page: bold, lists, find and replace, saved phrases, comments and tracked changes that never print. Spelling and grammar are checked on your computer, and Check writing asks AI for more when you want it. Double-click the header or footer to change it. Version History keeps every earlier version, and a colleague can review the report, encrypted, before it goes out.

Export, sign and send
Export to Word or PDF in your practice’s layout, or in a referral source’s own format. Exporting makes a file of the report as it stands, and you can keep editing it in InsightNotes and export again. No copying, pasting or reformatting.

Built for the evaluations you write
Each type comes with its own intake, report structure and safeguards — including the things a report must not decide on its own.

Everything a report takes, in one place
Intake for each evaluation type
Eleven evaluation types, each with intake modules that match its report, so nothing a report needs is left to memory.
AI drafting you control
Drafted from your intake answers, and Test Results from your test scores and testing notes. The client’s name, date of birth and contact details from their record are not sent. Draft any section again, change any word or write it yourself. Turn AI off for an evaluation or a section.
Test scores and results
Pick from a library of tests and type each score: percentiles, ranges and tables fill in, the results are interpreted from the scores, and suggested CPT units are worked out from the testing time.
Records, summarized
Add records from schools, clinics and courts, read on your computer. AI summarizes only the parts and pages you choose, with identifying details removed first, and Read with AI can read a handwritten page when you ask.
Diagnoses with checked codes
Draft diagnoses reads the whole report and lists the diagnoses it supports, each with its ICD-10-CM code, checked against the code set. Every diagnosis is yours to keep, change or remove.
Drafts in your voice
Choose up to three paragraphs you wrote, and drafts follow your tone, wording and sentence length. Each clinician has their own.
Intakes that fit your practice
Leave out sections you never ask, rename and reorder them, change questions and add your own, seeing the intake as clinicians will. Duplicate an intake to make one of your own, or lay out Mental Status like your paper checklist. Your own questions are drafted into the report too, and every computer in your practice gets the same intakes.
Dictation on your computer
Speak into any notes field. Speech is transcribed on the computer itself; the recording is not kept and never leaves it.
Reports in your format
Word and PDF in the InsightNotes layout with your letterhead, your practice’s own report templates, or a referral agency’s own form, set up for you. Bring the letterhead you already use in Word, and reports print it just as Word lays it out.
Encrypted peer review
Share a report with a colleague for review. It is encrypted on your computer before it leaves.
Built for a whole practice
Accounts for each clinician, administrators who add and remove computers, and the same standard on every report. Clients, evaluations and reports are on every one of your practice’s computers, encrypted with your practice’s key on the way.
iPad and iPhone
An app for iPad and iPhone, now in testing, with your practice’s records on the device: work through an intake or review a report away from your desk.
Help built in
Step-by-step guides inside the app point at the real buttons, and short videos show the main parts of it.
Your clients’ records stay with your practice
InsightNotes is desktop software. Records are kept on your practice’s computers, and when they travel between them they are encrypted with a key only your practice holds — and unlike a general AI chatbot, it sends AI only what a section needs, without the client’s name and details from their record. The one exception is a page you ask AI to read, which goes as it is.
- Clients, evaluations, scores and reports are stored encrypted on your practice’s computers.
- AI drafting sends the answers for the section being drafted, and for Test Results the test facts and testing notes. It never sends the client’s name, date of birth, contact details or record numbers.
- AI drafting can be turned off for any evaluation, or a single section.
- A Business Associate Agreement with every practice, accepted when you sign up.
- Lost or stolen laptop? An administrator removes it, and it is locked out at its next connection.
Plans for one evaluator or a whole practice
From $399 a month, with every evaluation type, every report format and a 14-day free trial. Group practices can book a walkthrough.
Do I still write the report?
You are the author. AI writes a first draft of each section from your documentation; you change any word or write the section yourself. Exporting makes a Word or PDF file of the report as it stands, and you can keep editing it in InsightNotes.
What does AI drafting send?
The intake answers for the section being drafted, whether the client record uses he, she, they or “the client”, and any example paragraphs a clinician chose for drafts to match their writing. For Test Results, it sends the test facts and the clinician’s testing notes. A record summary sends only the pages the clinician picked, with identifying details removed, only when they click Draft summary, and only once the practice has accepted the agreements that cover it. Read with AI sends one page of a record the clinician is adding, as a picture, only when they ask, and only once the practice has accepted the agreements that cover it; a picture goes as it is, names written on it included. Otherwise the client’s name, date of birth, contact details and record numbers are never sent. Records themselves stay encrypted on your computers.
How many reports does a plan cover?
A full evaluation usually uses 15 to 25 section drafts, depending on the evaluation type, and the longest DFCS evaluations up to about 30. Solo’s 300 drafts cover about 12–20 full evaluations a month. Solo Plus’s 1,200 drafts cover about 50–80 full evaluations a month. Group Practice’s 2,500 drafts cover about 100–165 full evaluations a month. High Volume has no limit on drafts. See Pricing for every plan.
What counts as a draft?
One section of a report written by AI is one draft; a section in several parts uses one for each part. Drafting a section again uses another, and each record summarized for Review of Records uses one. Your own writing, blank sections, sections with AI off and a draft the AI service couldn’t finish use none. Each section is drafted once for the whole practice, on the computer where its answers were entered. A full evaluation usually uses 15 to 25, up to about 30 for the longest DFCS evaluations. Each Check writing pass, Draft diagnoses and each page read with AI also use one. See Pricing.
