The product

What does InsightNotes do?

It takes a psychological evaluation from intake to a finished report. You document the evaluation in structured intake built for its type, AI drafts each report section from what you documented, you review and edit every section, and you export the signed report to Word or PDF.

Which evaluations does it support?

General adult (standard and brief) and child psychological evaluations; adult disability, two-hour mental status and three-hour testing disability evaluations; and child-welfare psychological and psychosexual evaluations for adults and children. Each has its own intake, report structure and safeguards.

Do I still write the report?

You are the author. AI writes a first draft of each section from your documentation; you edit it, rewrite it, ask for a new draft, or write the section yourself. Nothing is final until you approve it, and sections about risk, credibility, custody or placement are always yours to write.

Can I dictate?

Yes. Dictate into any notes field. Speech is turned into text on your own computer; the recording is not kept and is never sent anywhere.

How do test scores get into the report?

Enter administrations and scores on the evaluation’s Test Scores tab. Scores and their interpretations appear in the report’s test results, and the report lists the tests administered.

Can we use our own report format?

Reports carry your practice’s name, address and clinician details. When a referral source requires its own Word format, InsightNotes can fill that format instead of its standard layout. Tell us about a format you need.

Can we bring in past reports or records?

Not at the moment. New evaluations are written in InsightNotes; past reports stay where they are today.

Is there a limit on clients or evaluations?

No. Plans differ only in how many computers you connect and how many AI section drafts are included each month.

AI and privacy

What does AI drafting send, and where?

Only the intake answers for the section being drafted, and whether the client record uses he, she, they or “the client”, sent through the InsightNotes AI service to the AI model that writes it. The client’s name, date of birth, contact details and record numbers are not sent. Free-text answers are sent as written, so anything typed into them goes with them. Does InsightNotes train AI on our clients’ information?

No. InsightNotes does not use your practice’s information to train AI models, and a draft is not kept by the InsightNotes AI service once it has been returned to your computer.

Can we turn AI off?

Yes — for an entire evaluation, or for any single section. Everything else in InsightNotes works the same without it.

Is InsightNotes HIPAA compliant?

HIPAA compliance is something a practice achieves through its own policies, not something software can promise on its own. InsightNotes is built for practices that are covered by HIPAA: client records are encrypted on your own computers, AI drafting sends only what a section needs, and we sign a Business Associate Agreement with every practice.

Where are our client records stored?

On your practice’s own computers, in an encrypted database. There is no InsightNotes cloud copy of your records. A report you share for peer review is encrypted on your computer before it leaves, so the service that carries it cannot read it.

What if a laptop is lost or stolen?

Its records are encrypted and the app is locked behind your password or PIN. An administrator removes the laptop from the practice, and it is locked out the next time it connects.

Your practice

Which computers does it run on?

Macs with Apple silicon (M1 or newer) on macOS 13 Ventura or later, and PCs on Windows 10 or 11, including Windows on Arm. Intel Macs are not supported.

Can several clinicians share a computer?

Yes. Each clinician signs in with their own account, and the practice decides who can see and do what.

Does it work without the internet?

Everything except AI drafting works offline, including intake, editing and export. Each computer needs to connect at least once every 30 days to stay licensed.

Where is InsightNotes available?

Anywhere in the United States.

How long does setup take?

A few minutes: start the trial, install the app, and connect it with the code you are given. See Getting started.

What happens to our records if we cancel?

They stay on your computers and can always be opened and edited. New AI drafting, new evaluations and report exports pause until the practice subscribes again.
