Your records stay on your computers
InsightNotes is desktop software. Client records live in an encrypted database on your practice’s own computers, and only what a feature needs ever leaves them.
On your computers, encrypted
Clients, evaluations, test scores and reports are stored in an encrypted database on each computer, unlocked with the practice’s key. The app locks itself after a period you choose, and asks for a password or PIN to come back.
What AI drafting sends
When AI drafting is on, the intake answers for the section being drafted are sent through the InsightNotes AI service to the AI model provider that writes the draft. The client’s name, date of birth, contact details and record numbers from the client record are not sent. Free-text answers are sent as written, so anything typed into them goes with them. Turn AI off for any evaluation, or any single section.
Shared reports, encrypted end to end
A report published for peer review is encrypted on your computer with your practice key before it is uploaded. The service stores it but cannot read it. Nothing is shared until someone publishes a report.
Recovery, under your control
A copy of your practice key is sealed so that only InsightNotes’ recovery key can open it, and is released only to one of your own computers after we confirm the request with you. Your practice is shown every request and who approved it.
Your practice decides who connects
Each computer is connected with a one-time code and has its own credential. Administrators add computers and remove them; a removed computer is locked out at its next connection and kept out until it is allowed back.
Works without the internet
Everything except AI drafting works offline. A computer needs to check in at least once every 30 days to stay licensed — and even then, nothing already written is ever locked away.
What InsightNotes holds about your practice
- Your practice’s name, plan and billing status, and the email used to sign up. Card details are held by Stripe, our payment processor, never by us.
- Which computers are connected, their Device IDs and app versions, and when each last checked in.
- Which agreements your practice accepted, by whom and when.
- A sealed copy of your practice key for recovery, which we cannot open without our recovery key.
- Support requests you send us, and — only if you choose to include them — diagnostics with personal details removed.
- Counts of AI drafts by day for billing, never what was drafted.
Agreements
We sign a Business Associate Agreement with every practice, accepted with our Terms of Service when you sign up. Our Privacy Policy explains what we collect and why.
