How to use InsightNotes

Short videos of each part of the app, filmed with a made-up practice and made-up clients. Inside the app, Guides at the top of the window walks you through the same steps, pointing at the real buttons.

Setting up

Set up InsightNotes

From signing up to your first connected computer. 2 min

What it shows
  1. On the sign-up page, give your practice’s name, your email and a plan, accept the agreements, and check out.
  2. Back from checkout, note your first connection code (it is shown once) and set a password for the practice portal.
  3. In the practice portal, open Download and install InsightNotes.
  4. Open the app and follow the welcome screens: your practice’s details, how you sign in, and how it locks.
  5. In Settings → About & Support → Practice Connection, type the code and choose Connect.

Add another computer

Connect a colleague’s computer, or a spare. 1 min

What it shows
  1. On an administrator computer, open Settings → About & Support → Practice Computers.
  2. Name the new computer, choose whether it administers the practice too, and choose Create a connection code.
  3. On the new computer, type the code under Practice Connection.
  4. To remove a computer, Disconnect it. Manage billing opens your plan, card and invoices.

Evaluations

Add a client and start an evaluation

A new client, and an evaluation ready for its intake. 1 min

What it shows
  1. In Clients, choose + Add Client. A name is all you need; report pronouns tell the report how to write about the client.
  2. Open the client and choose + New Evaluation.
  3. Give the evaluation date and its type, and if you like a due date, then Create Evaluation.

Fill in the intake

Sections, saving as you go, dictation, and what gets drafted. 1 min

What it shows
  1. Open the evaluation’s Intake. Work through its sections in any order, and skip what you didn’t ask.
  2. Everything saves as you go. Dictate turns speech into text on your own computer, for you to read before it goes in.
  3. Save and Continue moves on. Finished sections are drafted for the report in the background.

Reports

Draft and review the report

Drafted as you work, then yours to change, word by word. 1 min

What it shows
  1. Open the evaluation’s Report. AI shows what is drafted; Generate with AI drafts anything outstanding.
  2. Only what a section needs is sent for drafting, with the client’s identifying details left out.
  3. Focus shows just the report. Edit lets you change any word; Version History keeps every earlier version.

Export and share a report

Word and PDF, and peer review within your practice. 1 min

What it shows
  1. Export DOCX gives an editable Word document on your letterhead; Export PDF a finished copy.
  2. Share for peer review sends the report, encrypted, to your practice for a colleague to correct and share back.
  3. Reports lists every report, and the ones shared with you for review.

For administrators

Customize your intakes

Ask only what your practice asks. 1 min

What it shows
  1. Open Settings → Clinical Content → Intakes and choose an evaluation type.
  2. + New intake makes your practice’s own version. Untick sections you don’t ask, rename or reorder them, and change questions.
  3. Choose the report it fills, and Publish. Evaluations already started keep the intake they began with.

Report templates and your writing style

Your reports, your way. 1 min

What it shows
  1. Report Templates holds every report layout: customize a built-in one, duplicate it, or share one with your practice.
  2. In My Writing Style, choose paragraphs from reports you have finished, or paste your own. Drafts follow your phrasing.

What it shows
  1. After setup, Home offers a one-minute tour. Close it, and it doesn’t come back.
  2. Guides, at the top of the window, lists every guide. Each step points at the control it is about; click anything along the way, or close it any time.
